Set when your tours run, how many guests they take and how many guides you have. Odybook turns those rules into the slots guests can book, and checks every booking against them again before it is confirmed.
Availability in Odybook is calculated, not typed in by hand. You describe each tour once: its departure times, its group size, whether it is private or shared, and the notice you need. Odybook then combines those rules with your blocked time and your guides, and only offers the slots you can actually run.
Departure times, cutoffs and blocked time
Each tour has its own list of daily departure times. A walking tour can run in the morning and again in the afternoon, while a sunset cruise runs once in the evening. Guests only see the times that are still open on the date they pick.
Cutoffs protect your preparation time. You set a minimum notice in hours, which defaults to 24 hours. You can add a separate cutoff once a departure already has its first booking, and a “night before” cutoff for early departures, so nobody books an early-morning tour at midnight.
When you are unavailable, block the time instead of editing the tour. A block can cover a full day or a time range, span several days, and apply to the whole business or only to the tours you choose. Blocked slots disappear from booking right away. In the week and day views you can also drag across the calendar to create a block.

Group sizes, private tours and real limits
Every tour has a minimum and maximum number of guests per booking and a total capacity. A shared tour fills seat by seat until it reaches its maximum. A private tour is reserved in full by the first booking, so two families never end up on the same private walk.
Capacity is not only about seats. Odybook will not let overlapping tours exceed the number of active guides in your team, so you never sell more departures than you can staff.
To prevent double bookings, availability is checked again inside the booking itself, with a lock on the day and the slot. Unpaid checkouts hold their seats until they expire, so two guests paying at the same moment cannot both take the last place.

Pricing models and seasonal prices
Choose the pricing model that matches how you sell: a price per person, a price per group, or a base price plus named participant categories such as adult, child or student. You name the categories yourself.
Seasonal and promotional prices apply to date ranges. Each one sets a fixed price or a percentage change, and a priority decides which rule wins when ranges overlap. Public bookings pick up the right price automatically for the date the guest chooses.

One calendar for your whole operation
The booking calendar shows month, week and day views, with a filter by tour. It is where you see what is coming, open a booking, and block time.
If you prefer Google Calendar, Odybook can push your bookings and blocked times to it. Each user can connect their own calendar on any plan, and the Team plan adds a shared business calendar. Sync is one-way: events you create directly in Google Calendar do not block availability in Odybook. Every user also gets a private iCal feed they can subscribe to and reset at any time.
When a date is full, guests can join a waitlist from the booking page. You see the list in your admin and can notify people when a place opens.

Frequently asked questions
Can I run different departure times on weekends or in high season?
Departure times apply every day. To skip days, block them. Seasons apply to prices: you can charge a different price for any date range, but the departure times stay the same.
How does Odybook stop two guests from booking the last seat?
Availability is checked again inside the booking with a lock on the day and slot, and unpaid checkouts hold their seats until they expire. The second guest sees the slot as full.
Does Google Calendar sync work both ways?
No. Odybook pushes bookings and blocked times to Google Calendar. Events you add directly in Google do not block availability in Odybook, so block that time in Odybook instead.
Can I cancel a departure that does not reach its minimum group size?
The minimum applies to each booking, not to the departure as a whole, and Odybook does not cancel departures automatically. You decide and manage those cancellations yourself.
