Daily manifests and guide check-in
The manifest shows each day's bookings grouped by start time: the tour, the booking reference and status, the lead guest, the number of guests, the assigned guide and your booking notes. Step to the previous or next day, and print it from your browser when you want paper in hand.
Guides use the guide portal on their phone. It lists the tours assigned to them today with the meeting point and a map link, and they check guests in by typing the booking reference.
Guest health details such as dietary or mobility information are not stored by Odybook. Guides see what helps them host well, such as the occasion, interests and the number of children.

Guides, dispatch and team roles
On the Solo plan you are the guide, and Odybook assigns your bookings to you automatically. With a team, choose how tours are staffed: managers dispatch guides, or guides claim open tours themselves.
Guides can offer a shift to a named colleague or to the whole pool, and managers can approve or decline each exchange.
Team members get one of seven roles, from owner and manager to editor, billing, viewer, partner and guide, and you can limit a member to specific experiences. Managers can set guide pay rates and run a payroll report, and owners on Team and above get an audit log of role, permission and membership changes.

Guest emails at every step
Every booking triggers the emails guests expect: a confirmation, and a cancellation notice if plans change. Add-on changes, messages from your team and waitlist openings are emailed too.
After the tour, you can send a thank-you email from the booking with your own message, a link to leave a review on Tripadvisor or Google, and a link to book again.
Guest emails are written in English, French, Spanish, German and Italian, so international travellers read them in a language they know.

Alerts and a shared inbox
Your team receives email alerts for new bookings, cancellations, messages and contact requests, and each person can turn off the booking, cancellation and comment emails they do not need.
Browser push notifications announce new bookings, cancellations and internal notes, and every morning a summary of tomorrow's schedule arrives.
Guest conversations live in a shared inbox grouped by customer. Your team replies by email from Odybook, and when the guest answers, the reply comes back into the same thread.

Exports and analytics
Export your bookings list to CSV with the reference, date, time, experience, customer, email, guest count, total and status, ready for your accountant or a spreadsheet.

Can my guides use Odybook on their phone?
Yes. The guide portal works in the phone's browser. Guides see their assigned tours for the day, open the meeting point on a map and check guests in by booking reference.
Does Odybook send SMS messages?
Not today. Guest and team messages are sent by email, and your team can also receive browser push notifications.
Can I export my manifest?
You can print the daily manifest from your browser, which also lets you save it as a PDF, and export your bookings list to CSV.
How many people can I add to my account?
Solo includes one user, Team includes 10 users with extra users at €6 a month each, and Agency has no user limit.
